As our client's business expanded, their dispatch system was overwhelmed with cargo transportation requests, mostly received via email and processed manually. These requests needed to be sorted to match them with suitable trucks based on criteria such as truck size, equipment, and the 'miles out' indicator.
The goal of improving the truck dispatch service’s efficiency was to automate email processing in near real-time, extract important information, and find the best matches between trucks and cargo requests.
We came up with a system to automatically add dispatchers, quickly process emails, and extract information like pick-up and destination locations, and cargo details. For each truck in the fleet, the system now calculates the 'miles out' and, if the driver meets all the criteria, places an order and notifies a dispatcher. Additionally, a draft email with all the necessary information for the processed order is automatically created to minimize the dispatcher's response time.
For this task our team has used a performant IMAP client, Regex and LLM-based structured text extraction which then was integrated into Payload CMS.
In the truck dispatch business precision when it comes to 'miles out indicator' is key to success as it measures the distance from the pick-up location to the truck's current location. A lower 'miles out' value means a more profitable deal and faster delivery.
For our client, we implemented custom geocoding engines based on ZIP codes and a standalone Routing Service using Valhalla. This solution enhanced the accuracy and efficiency of matching trucks with cargo and planning optimal routes. The geocoding engines improved location precision, while the Valhalla-based routing service ensured reliable and efficient navigation, streamlining the dispatch process.
We have extensive experience using PayloadCMS as an admin dashboard and API, but this time, we also used it as a customer-facing UI as well. This solution worked perfectly. We used tall the basic functionality out of the box and built the missing components with React.
